Booking with Vintage Charm
- We require a 50% deposit to secure your event date as well as a £50 or £100 fully-refundable damages deposit (depending on which package is hired). The date will be held for you for three days whilst we await receipt of payment. If no payment has been made within three days, the date will be made available to all potential clients.
- The final balance is due six weeks before your event date.
- If you enquire with less than six weeks to go before your event date, the full balance will be due.
- The final balance includes delivery, the set-up of games and collection.
- We only accept BACS payment at this time but are reviewing other payment options for the future.
- You can add on to your booking with additional games up until one week before your event date, if there is availability. We will send an additional invoice to bill for this.
Cancelation policy
- If you wish to cancel your booking, please let us know in writing. If you cancel prior to your final payment being due six weeks before your event date, you will not be required to make any further payment. You will not receive a refund on your booking deposit, as this is non-refundable.
- If you wish to cancel less than six weeks before your event date, you will still be charged the full balance. This is due to us holding that date for you and potentially losing a booking with another client.
The hire of our games
- We ask that the venue is ready for us to set-up at the agreed time and date.
- We require all games to be ready for collection at the agreed time. Failure in this will result in a charge to cover our travel costs.
- Our chalkboard sign comes as standard with all of our package options.
Hire of our 'Buzz Wire' game will require you to sign a separate form. This form outlines the importance of keeping the game out of the rain as it includes batteries. 'Vintage charm' will always deliver the game with fully-charged batteries and take no responsibility if the game runs out of battery whilst being out to hire. The game should be switched off after use to avoid this.
Damage or loss of games
- At booking, as well as a 50% booking fee, we will ask for a £50 or £100 damages deposit depending on the amount of time that you would like the games for. This is fully refundable, upon collection of un-damaged games. If no games have been damaged, we will return the damages deposit within 1-2 working days.
- Although all of our games are the property of 'Vintage Charm', at the time of hire the responsibility of the items lies solely with you. You will be liable to pay replacement costs on anything that has been damaged.
- Many of our games have a 'vintage' look which means that they can have the look of being slightly 'worn'. However, any additional significant ware will be billed.
- Please make sure that any children are supervised at ALL times with the games. We have had a number of incidents where games have been broken/lost due to children being left unsupervised with the games. This will result in you not receiving your damages deposit back after your event.
- We always aim to set up outdoors. However, if the weather is torrential, we will look to alternatives including finding a more sheltered area or setting up indoors if this has been agreed with the venue.
- All of our games apart from our 'Buzz Wire' game are waterproof and can withstand a large amount of rain. However, caution should be exercised when there is any sort of wind. If the weather turns and there are high winds, whilst we are not at the venue, we ask that the games are moved so they aren't able to damage any property at the venue or cause any damage to any person on site.
